Introducing TAS
The survey forms part of the national Transparent Approach to Costing (or TRAC) which is important to the University because it enables us to:
  • Calculate the Indirect, Estates and Technician charge out rates that we can claim on our research awards
  • Calculate the cost of teaching per student in each subject area
  • Understand how the costs of our activities compare with the income we receive

Who needs to complete the survey?
All staff, working in departments that deliver teaching or research, are required to complete the survey. Staff working part-time, or on short-term contracts, are included. If your contract ends part-way through a survey cycle, any data you submit up to that point is still valuable and we will be able to use it in the analysis. Completion of the survey is compulsory.

What do I have to do?
You are required to complete three time allocation survey forms during each 12 month period, each form covering one full week of activity. These weeks will be selected for you.

Is the survey confidential?
We will treat the information you submit as confidential and will only use it to produce aggregated data on departmental, faculty and university time and cost proportions.

Why do I have to do it?
Staff time is still the University’s most valuable resource. The University uses the survey data to help understand the cost of its varied activities. The survey directly affects the University’s income and the results are very important in securing funding for the sector. Consequently, the Office for Students (OfS) requires the University to carry out this survey regularly. For these reasons, completion of the survey is compulsory and Heads of Departments will monitor response rates.

A letter to all staff included in the survey also emphasises the importance of the collection of this data.

How do I do it?
You will receive an email, one week in advance, giving you notice of the week that has been selected for you. Then, in your survey week, you will receive an email, which will contain your personal link to the survey. You will need to allocate the time that you spend during your allotted week to a number of activity categories. There is one form covering a full calendar week. If you carry out work for the University outside your normal working hours, during the sample week, this should be included.
Three documents are available to help you code your activities: a quick categorisation guide, a spreadsheet of activities and a searchable list of activities that will identify the relevant TAS category.

Daily Diaries
You are not required to maintain a daily diary sheet, but some staff have found this helpful.
Daily diary sheets are available either to print and complete manually, or as an Excel spreadsheet to download and complete electronically. The diary is just a tool to help you complete the web-based TAS form. It is not mandatory to complete the diary and you should not send it to the TAS team.
